How to invoice an EU client from the Czech Republic
Working with a client in another EU country sounds simple until you actually need to send the invoice. That is usually the point where the questions start:
- Do I add VAT?
- Do I use reverse charge?
- Can I invoice in English?
- What if I bill in EUR?
- What if the invoice itself is easy, but the Czech side behind it is not?
This page gives you the simple version. If you already know what you want to bill and just need to issue the
invoice, you can do it here:

Why EU clients create more confusion
A Czech client is one thing. A client in another EU country is different because people immediately start mixing together three separate questions:
- the invoice itself,
- VAT or reverse charge,
- and whether there may be extra Czech obligations behind the invoice.
That is why freelancers often hesitate, overthink, and delay sending the invoice. The invoice is usually not the hard part. The hard part is being sure you are not using the wrong logic behind it.
The invoice side is simpler than people think
At a practical level, an invoice to an EU client still usually includes the same core structure:
- your business details,
- the client’s details,
- invoice number,
- issue date,
- service description,
- amount,
- currency,
- payment details,
- and, where relevant, the correct wording on VAT or reverse charge.
That part is manageable. The confusion usually starts when people assume that every EU client should be handled the same way. That is not true.
Where people usually get stuck
The usual friction points are predictable:
- the client is in the EU, so people assume reverse charge automatically applies,
- they are not sure whether the client is a business or private individual in the relevant sense,
- they are unsure whether Czech VAT-related obligations may still exist,
- they copy invoice wording from somebody else without understanding why it is there.
That is how a simple invoice turns into a future rescue case.
A better way to think about it
Split the problem into two parts.
1. Create the invoice correctly
This means:
- right client details,
- right amount and currency,
- right structure,
- right wording where relevant.
2. Make sure the setup behind it is correct
This is the part where you stop improvising. An EU client does not automatically mean the same VAT treatment in every case. That is why the invoice document and the tax logic behind it should not be treated as one blurry problem.
When a simple tool is enough
A clean invoicing tool is enough if:
- you already understand what you are billing,
- you know who the client is,
- you just need to issue the invoice,
- you want an English-friendly flow,
- you want EUR or USD,
- and you do not want friction before you even start.
That is where Ganado Faktura fits well. It is useful when your goal is practical: issue the invoice and move on.

When this stops being “just an invoice”
You should stop guessing if:
- this is your first EU client,
- you are unsure whether reverse charge applies,
- you think identified person issues may be relevant,
- you already issued invoices and now suspect the setup may have been wrong,
- or the income structure is no longer simple.
At that point, the issue is no longer just creating the PDF. It becomes a Czech tax / compliance question too. That is where Ganado can help separately.
One useful rule
Do not copy invoice wording from another freelancer just because they also work with EU clients. Their setup may not be your setup. A clean invoice is good. A clean invoice built on the wrong logic is still wrong.
