Quote the whole lifecycle, not just the registration
When a contract is still being negotiated, begin with a written scope rather than unnecessary registration work. Confirm the intended start and end, the client's country, your residence and any existing Czech business status.
We separate four parts: OSVČ setup, any identified-person registration, monthly administration and annual filings. Pausing, closing or correcting older periods is stated separately. A short engagement is welcome; it does not have to become a permanent subscription.
Four months can cross two tax years
For example, an October-to-January project touches two calendar years. That does not mean four monthly fees automatically include two complete annual packages. The quote must name the filing years and the documents needed for each.
For our contractor service, annual filings are included with a full covered tax year of service. Short engagements have a separate annual-package quote. Indicative monthly support starts at 1,490 CZK and the annual package at 2,990 CZK; the final scope is confirmed before payment.
Build a predictable monthly routine
After onboarding, keep issued invoices, receipts and the relevant bank evidence together. Tell us when the service period or actual work location changes, not only when a payment arrives.
A low invoice count is useful for pricing but does not settle the VAT or insurance questions. A German customer, a foreign software subscription and a period of work abroad may require different treatment.
Pausing the business does not erase the filing year
ČSSZ's annual overview rules can still apply when self-employment took place for only part of the year; applicable exceptions need to be checked. We also identify the Czech tax and health-insurance work still due.
Ending the client contract, interrupting the trade and cancelling VAT / identified-person registration are not one single action. We confirm the relevant steps instead of treating the final invoice as the end of all administration.
Agree what happens after the last invoice
Before the project ends, tell us whether you will pause, stop, extend the assignment or move to another country. We agree the remaining work and a written handover.
- Final invoice and any outstanding payments.
- End date and the registrations that need separate action.
- Annual returns and insurance statements for each agreed year.
- Submission confirmations and a list of anything still outstanding.
