What is billed separately

The monthly price covers the agreed work. Standalone services and work beyond that scope are quoted before we start. Work already included is not charged twice:

  • Accounting takeover free

The handover is free: we check the state of the books, open items and set up your new monthly routine. Unprocessed historical periods and missing documents are quoted separately once we have reviewed them.

  • Corrections and missing prior periods fixed quote after review

The accounting handover itself is free. The quote covers only corrections and unprepared prior periods; we confirm the scope and price after reviewing the records.

  • Payroll per employee 190 CZK / employee

Employee setup included · JMHZ and other payroll reports included · Payslips · Cleanup quoted separately

  • Identified person registration from 1,990 CZK

Document review, application, power of attorney and routine tax-office follow-up.

  • Identified person VAT filing from 690 CZK / filing

Period check, VAT calculation, electronic filing and submission confirmation.

  • Late-period and history review from 1,990 CZK

Initial review of registration, periods and available evidence; corrections are quoted after findings.

  • Annual self-employed tax return from 2,990 CZK

A separate annual layer; monthly identified-person filings do not replace it.

None of these is charged on its own initiative. You get the scope and the amount in writing, and we start only once you confirm it.

What your previous accountant is legally obliged to hand over

We request the records from your previous accountant ourselves — you only sign the power of attorney. You are entitled to them by law; these facts decide how smooth the takeover will be.

The company is responsible for its own books, not the accountant

Under Act No. 563/1991 Sb., on accounting, the accounting entity (účetní jednotka) is your s.r.o. itself, not the person or firm that has been keeping your books (§ 1 odst. 2). Responsibility for maintaining and keeping the accounting records rests with the company — an external accountant is only the processor you hired. That means you have a right to your own records, even if the previous accountant stops responding.

Records must be retained — we confirm the exact period per record type

The same act's § 31 requires the accounting entity to retain its accounting records for a statutory period that varies by record type (financial statement, accounting documents, accounting books). When we take over a file we always check first what actually exists from the history and how long it still needs to be kept — we confirm the exact retention period for each type of document, not a single blanket figure that may not fit your case.

Only one representative can act on the same matter at a time

Under the Tax Procedure Code (Act No. 280/2009 Sb.), § 29 odst. 1: "In the same matter, only one zmocněnec (authorised representative) may be chosen at a time." If your previous accountant still holds your power of attorney to deal with the tax office, it does not lapse just because you stop paying their invoice — it has to be revoked or replaced with a new one. § 27 governs choosing a representative and § 28 the scope of a power of attorney and fixing its defects. This is the single legal fact on this page worth reading in full for: if nobody deals with the old power of attorney, the tax office keeps talking to the old representative even though they no longer keep your books.

The Data Box has to be checked from day one

Under Act No. 300/2008 Sb., § 17 odst. 6, delivery into a Data Box (datová schránka) "has the same legal effect as delivery into one's own hands." If nobody logs in within 10 days of a document being delivered, the document is deemed delivered on the last day of that period (§ 17 odst. 4) — whether or not anyone actually read it. So the first step in any takeover is always checking who has access to the Data Box and whether anything unread is sitting in it.

What to gather before the handover

This is what we will need before we start. None of it needs to be ready in advance — if something is missing, just tell us it is missing and we will agree on how to fill the gap.

  • your most recent VAT returns and control statements
  • bank statements and any unposted documents
  • payroll and the executive (jednatel) registrations
  • your last annual financial statement (účetní závěrka) and corporate tax return (DPPO)
  • any open notices (výzvy) from the tax office
  • the state of your Data Box (datová schránka)
  • an export from, or access to, your current accounting software
  • the status of the power of attorney (plná moc) held by your current accountant

What a gap can cost

We keep the detailed penalty ladders on their own pages so the figures never drift between pages — here we only explain why they matter during a handover.

A late tax return

Under § 250 of the Tax Procedure Code, the fine is 0.05% of the assessed tax per day of delay after the first 5 business days, capped at 5% of the tax; if the return is filed late and the fine would come to less than CZK 1,000, it is not levied at all (subsection 3). If the return is never filed, the fine is calculated at the upper 5% bound and is always at least CZK 500 (subsection 4), capped overall at CZK 300,000 (subsection 5). The risk is highest exactly during a handover, when nobody is quite sure what has already been filed.

The VAT control statement

A missing or late VAT control statement (kontrolní hlášení) carries its own graduated penalty ladder depending on whether you file it yourself, after a notice, or not at all. We keep the full ladder and the conditions for the halved rate on its own page rather than duplicating the figures here: control-statement penalties.

A missed non-monetary duty (e.g. not registering as an identified person)

Under § 247a of the Tax Procedure Code, seriously obstructing tax administration can carry a fine of up to CZK 500,000. What exactly triggers it and how a backlog is remedied is covered on the identified-person penalty page and fixing an identified-person/VAT backlog (Czech-language pages; ask us for the English summary).

An unchecked Data Box

A notice nobody opens is deemed delivered after 10 days, exactly as if the company's executive had received it in person (see the section above). The single most common way an important deadline is missed during a handover is not a mistake in the numbers — it is a Data Box nobody looked at for a week.

What you send, what we do, when it is done

  1. 01

    What you send

Your IČO, what you pay for accounting today, VAT status and number of employees. If you like, also send your current accountant's last invoice to info@ganado.cz. We do not need logins or passwords in the first email.

  2. 02

    What we do

Within 24 hours we send a fixed price for the same scope and a handover plan. We request the records from your previous accountant ourselves; filling in unprocessed history is quoted separately and up front.

  3. 03

    When it is done

Written reply, no call — within 2 hours, every day, weekends and holidays included. Our reply covers the fixed price, the handover plan and a proposed switch date.

Worked example: a VAT-registered s.r.o. switching mid-year

A VAT-registered s.r.o. switches to us in October, with 5 monthly periods left before year end. The takeover itself costs nothing — you pay only the regular monthly fee from the first month.

Takeover (review and setup)0 CZK
Monthly bookkeeping, Standard plan with VAT — 4,990 CZK / month5 × 4,990 CZK = 24,950 CZK
Subtotal through year end24,950 CZK
Unprocessed historical periods (if any)quoted after review

If the review turns up an unfiled VAT period or an identified-person backlog, the fix is quoted separately — the starting rate for a backlog review is from 1,990 CZK (see the Czech-language backlog remediation page) — and is never rolled into the total above until we confirm it in writing.

Frequently asked questions

Can you give me a fixed price based on what I pay today?

Yes. Tell us what you pay for accounting today and what you get for it, or send your current accountant's last invoice to info@ganado.cz. Within 24 hours we send a fixed price for the same scope. Plans start at 1,990 CZK / month; a VAT payer is on Standard at 4,990 CZK / month.

How does an s.r.o. accounting takeover work?

We start by reviewing the available records, recent filings, VAT status, bank activity, payroll and any open items. Then we separate ordinary bookkeeping from historical cleanup and propose a handover date.

How much does an accounting takeover cost?

The takeover itself is free — checking the state of your books, open items and setting up the new monthly routine costs nothing. From the first month you pay the regular tier for your company's activity, from 1,990 CZK / month (Start) to 14,990 CZK / month (Ultra). Annual accounts and DPPO are free with year-round bookkeeping. If a bigger backlog, unprocessed historical periods, or missing documents turn up, we confirm the price for fixing them in advance and by scope — never automatically.

What exactly must the previous accountant hand over?

The records your accounting is actually built from: source documents, accounting books, VAT returns and control statements, payroll records, and an export from the accounting software. The company itself is responsible for these records as the accounting entity (§ 1 odst. 2, Act No. 563/1991 Sb.), so you have a right to request them even if the current accountant will not send them voluntarily.

What if the previous accountant refuses to cooperate or goes silent?

We request the records from your previous accountant ourselves, on your company's behalf — the company is entitled to them as the accounting entity (§ 1(2) of Act No. 563/1991 Sb.). Silence on the other side does not stop the handover: we work with what you have — bank statements, copies of filings from the Moje daně portal, your own documents — and mark any missing history as open until it is filled in.

How does the power of attorney to the tax office get changed?

Only one representative may act in the same matter (§ 29(1) of the Tax Procedure Code). We prepare the new power of attorney and help revoke the old one — you only sign both as the company's statutory body. Until the new power of attorney reaches the tax office, the office deals with the current representative.

Can we switch mid-VAT-period?

Yes, technically that is not a problem — the VAT period belongs to the company, not to the accountant. Administratively it is simpler between two VAT periods, or before year end, so one period does not have to be split between two accountants.

What if a period was never filed at all?

We find that out during the review and we do not hide it. An unfiled period is handled as a separate backlog fix (see the Czech-language <a href="/naprava-skluzu-io-dph/">backlog remediation page</a>), not as part of the free takeover — we confirm the price by scope before we start work on it.

Our books are in software you don't use. Is that a problem?

No. During the review we look at the export from your current software (usually reports, the journal and the general ledger) and carry the data we need into our own bookkeeping. Scope and any extra work for a non-standard format are confirmed in advance.

Is the free takeover really free, with no hidden charge?

Yes. Checking the state of your books, open items and setting up the new monthly routine is free, without exception. What is not free is catching up unprocessed history, fixing past errors, or missing documents — you always get that in writing with a price beforehand, and we do not start until you confirm it.

What happens to last year's annual statement and corporate tax return?

If the statement for the last closed period is complete and filed, we simply check it and carry on from there. If it is missing or unclear, we handle it as part of the historical cleanup — for an s.r.o. the deadline is 3 months after the tax period ends, 4 months when filed electronically, and 6 months through a tax adviser (see <a href="https://financnisprava.gov.cz/cs/dane/dane/dan-z-prijmu/pravnicke-osoby/obecne-informace" target="_blank" rel="noopener noreferrer">Financial Administration: corporate income tax</a>).

Who deals with the tax office during the switch?

Until we file a new power of attorney with the tax office, whoever currently holds it keeps dealing with them — usually the previous accountant, or you directly as the company's statutory body. Preparing the new power of attorney is part of setting up the new routine.
